How to register my hotel on the PURA VIDA TRAVEL website?

Go to the page “Hotel Registration” and follow the instructions.

 

How to Sign and Send the Contract (GTC)?

Additionally to your online-registration please fill in and sign the General Terms and Conditions (GTC) and send a fax directly to RRUG in Germany: 0049(0)3212 10 51 931. If you prefer you can send a scan via e-mail GTC download
Hot to update your hotel information?

You send all relevant information about your hotel in a Word document as well as images or send us a request to take over information from your website. We will then take care of the translation and include it in our system.

 

How to update the availability calendar with your Hotel-Login?

As soon as your hotel information is included in German and we received the signed General Terms of Conditions (GTC) you will receive a seperate Hotel-Login for your availability planning. You or your staff can login to update the availability information. (at the moment only in German)

 

How is my hotel activated and starts selling ?

When you have finished updating the availability calendar please send us an information e-mail. Upon receipt your hotel will be immediately activated in our booking system and your hotel starts selling.

 

How do I receive booking information?

If a booking through our website has been made by us or our Operator-Admin you will automatically receive an e-mail notification by the system informing you about the binding booking.

 

How to reconfirm booking information?

We kindly ask you to sent us a confirmation e-mail within 24 hours to make sure you have received the binding booking.

 

When do we receive payment for bookings?

We take over the task of the entire client encashment. The client’s funds less our agreed commission and the VCC-compensation fee will be transfered to you 1 week before arrival of the client to your designated bank account.

 

Why does our hotel have to pay a VCC fee?

We participate in the VCC program (Viajeros con Conciencía Climatica)of the Costa Rican Ecotourism Chamber (CANAECO) as mentioned under point 16 of our GTC and therefore compensate 100 % of our customers’ flights. This practice is part of our corporate sustainable concept. The offset payments to CANAECO benefit local reforestation and other projects under supervision of FONAFIFO. The idea of VCC is a fair share between the agencies and hotels offering long distance trips to Costa Rica. Your share for the CO2 compensation fee currently is 1.50 $ per room and day.

 

Are there any bookings upon request?

No, if there are no availabilities in our system activated for a client inquiry, there will be no request to the hotel. We exclusively offer hotels activated in our system.

 

Is it worth becoming an Advanced Partner?

Yes, it’s worth it. As an Advanced Partner we guarantee you to integrate your hotel in one of our preconfigured round trip packages for 14 days, 17 days and 21 days. Experience has taught us, that the majority of our clients decide in favor of our preconfigured recommendations.

 

Is it worth becoming a Premium Partner?

Yes, it’s worth it. As Premium Partner you will receive the highest number of bookings. A Premium Partner also benefits the most from our marketing activities. We guarantee our Premium Partners to be integrated in at least 25% of all our preconfigured round trip packages. Experiences so far taught us that Premium Partners can expect 1 reservation out of 25% of all bookings that are processed through our system.

 

What will be the refund in case of a Client Cancelation?

As mentioned in our GTC (referred to in point 21), the client’s cancelation fee, less our commission, which we will be refunded to the corresponding hotel, is as follows:

In the event of a PURA VIDA STANDARD-partnership with 20 % commission, the refund calculated from the booking amount is:

  • no refund until 30 days before arrival
  • 30% from 29 days to 15 days before arrival
  • (our cancelation fee 50% minus 20% commission = 30%)
  • 50% from 14 days to 4 days before arrival
  • (our cancelation fee 70% minus 20 % commission = 50%)
  • 60% from 3 days before arrival or no-show
  • (our cancelation fee 80% minus 20% commission = 60%)

In the event of a PURA VIDA ADVANCED-partnership with 25% commission the refund calculated from the booking amount is:

  • no refund until 30 days before arrival
  • 25% from 29 days to 15 days before arrival
  • (our cancelation fee 50% minus 25% commission = 25%)
  • 45% from 14 days to 4 days before arrival
  • (our cancelation fee 70% minus 25 % commission = 45%)
  • 55% from 3 days before arrival or no-show
  • (our cancelation fee 80% minus 20% commission = 55%)

In the event of a PURA VIDA PREMIUM-partnership with 30% commission the refund calculated from the booking amount is:

  • no refund until 30 days before arrival
  • 20% from 29 days to 15 days before arrival
  • (our cancelation fee 50% minus 30% commission = 20%)
  • 40% from 14 days to 4 days before arrival
  • (our cancelation fee 70% minus 30 % commission = 40%)
  • 50% from 3 days before arrival or no-show
  • (our cancelation fee 80% minus 20% commission = 50%)

We always try to arrange for substitute bookings. In that case no refund will be paid.

In the event our Cancelation Terms have to be changed due to legal regulations our cancelation refunds to our hotels will be properly adjusted.
